County/City Contract Construction Status Reports

In the submission of Quarterly Construction Status Reports for County and City Contracts, it is requested that the
following guidelines be followed by all District Engineers:
- These reports should be in the General Office, properly assembled for distribution no later than the first of
the week preceding the date of the Regular Transportation Board Meeting which are held on the third Thursday of each
month. For your information, these reports are reviewed by this Office and distributed to the respective Board Member one
(1) week prior to the Board Meeting.
- Number of copies need for distribution:
- One (1) complete set in alphabetical order including ALL Counties.
- One (1) set for EACH Congressional District, also in alphabetical order.
- The "Status" of the project (satisfactory or unsatisfactory) should reflect the overall performance of the County on the
Contract from date of work order to date of report. Therefore, it is requested that a close look be taken of each Contract
with an explanation shown to substantiate your determination.
- The report should cover all outstanding County and City Contracts, including PR, SAP, LARP, etc.
- You should furnish each County with a copy of this Status Report. If a County is behind schedule on several projects,
or has a large number of active contracts, it is suggested that you furnish any assistance necessary in the completion of
the projects. As you know funds are very limited and we should try to hold all engineering to a bare minimum.
Please furnish the appropriate personnel in your District with copies of this for their information and use in the
inspection of the project and the preparation of these reports.
This supersedes any previous instructions concerning the Construction Status Reports.
