City Maintenance Contracts

In order for the Office of Maintenance to verify that an acceptable level of maintenance is being performed on the state routes under contract to cities in your district, we wish to establish the following procedures:

  1. Each month the Maintenance Area Manager that has supervision over the respective area where there are city contracts will inspect the routes to insure that they are being properly maintained. This will be documented on the attached form, which may be duplicated for use.

  2. Upon receipt in the District Maintenance Office, along with the current bill from the city, verification shall be made as to the correct amount and state routes that are in this contract. If proper maintenance is not being performed, notification should be made to the city as to the item, or items, that need correcting.

  3. After verification is complete, a copy of the inspection form, along with the approved current bill, will be submitted to the Office of Maintenance.

  4. Periodically this office will require the Maintenance Liaison Engineers to review these routes with the Maintenance Area Manager. They will also be available at any time you require their services toward any questions that might arise.

This addition of the inspection report is in no way intended to interfere with, or relieve, the District Maintenance Engineer from his normal responsibilities of verifying the satisfactory maintenance of these routes; but to record and document that it is, in fact, being maintained in an acceptable manner.
